VENDOR PROSPECTUS

Booth: $550

Booths are 10’ deep X 10’ wide, drapes, 30” X 6’ table, 2 chairs, trash can, electricity, and wireless internet access. Second 6’ table is $50. Additional adjoining booth space is $385.

Sponsors receive priority selection of booth space, and exhibitor priority is given based on when registration is received.

Requests for additional tables and booth space must be made at least 2 weeks prior to the conference. A third-party vendor provides the booth setup, and conference volunteers and hotel staﬀ cannot accommodate last-minute requests.

While power is furnished as part of most booth rentals, please bring your own extension cord and power strip. Power outlets are within 25’ of booth space.

Vendor Basket Promotional Item:

As part of the registration process, every vendor is required to donate one promotional item for inclusion in a vendor basket, which will be raffled off to an attendee who has submitted a completed vendor bingo card. Vendors are encouraged to include a business card or identifying mark with the donated swag. Promotional items must be mailed by October 17^th to the Parsons Public Library (311 South 17^th St, Parsons, KS 67357)

Marketing Materials: $50

Inclusion of exhibitor-provided marketing material in participant bags.

Please provide 500 copies, and materials must arrive to conference planners at least 2 weeks before the conference.

The deadline for registration is Saturday, October 17th.

WHOVA APP

Exhibitors will have access to the Whova app. Each exhibitor can create a custom virtual exhibitor page, communicate with attendees, and upload custom materials to personalize their presence.

HOSPITALITY ROOM

The Hospitality room for vendors and authors is available all day on Thursday, October 29th. This room includes beverages and snacks. Two boxed lunches will be provided on Thursday with the purchase of a booth or sponsorship.

CANCELLATION/ REFUND POLICY

All registration cancellations and refund requests for the Kansas Library Association Conference, must be made in writing to KLA@amigos.org. The last day to receive a refund is October 17th. There is a $25 processing fee for all refunds.

Not able to stay the night? Parking fees apply for the Hyatt’s attached garage; discounted all-day parking ($7.50) will be available at registration.

Alternately, you may park on the surface lot across Waterman (see City of Wichita page) Monday – Thursday, 8 a.m. – 6 p.m., Friday – Saturday, 8 a.m. – 9 p.m. (with the exception of “Event Parking” there will not be a charge for parking outside of the aforementioned hours of operation) at the rate of:

$1 per hour ($10 per day max)
In lieu of hourly parking, parkers may pay $5 per day in a surface lot unless “event parking” rates apply.
A “day” starts when a parker enters a surface lot and “ends” when enforcement ends for the day.
The daily rate does not continue to the next “day”.
Vehicles with visible and valid ADA or Disabled Veterans placards, tags or license plates may park for free of charge - subject to event parking rates as applicable. Failure to adequately display may result in ticketing or towing at owner's expense.
