Description: Some libraries have started implementing Google Apps as a way to centrally manage staff email (and nasty spam), calendars, and documents online. This session will cover what it takes to switch to Google Apps, how the tools of Google Apps work, how library staff can use Google Apps to save time and money, and what risks and potential problems exist.

Abstract: Several libraries are looking for better email system options that are well-organized, easy-to-use, web-based, can store a lot of email messages, and can fight spam. Libraries also are needing manageable calendar systems that are all easy to implement and use, as well as online document storage. Google Apps is one possible option. In this presentation, Liz Rea, NEKLS Network Administration will discuss what it takes to switch a library's current email system to Google Apps and why network administrators might benefit from this switch. Next, Heather Braum, NEKLS Technology Librarian, will the provide tips on getting started with Google Apps, where to find tutorials and training documents for Google Apps, as well as demo the tools that are included with Google Apps (Mail, Documents, Calendar, and Sites). Diana Weaver, Atchison Public Library Director, will discuss why her library staff swtiched from an email-only system to Google Apps, how it has helped her library staff collaborate and communicate, and how Google Apps might help other libraries save time and money. All three presenters will also discuss their experience in collaborating on a large-scale software and migration project, using the tools in Google Apps. Finally, Liz Rea will discuss potential risks and problems using Google Apps in a library.
